Basic Summary of Position:

The qualified candidate will be an energetic person, ready to work in a fast-paced, high call volume environment. The Central Referral Intake Coordinator will be responsible for the overall intake process of all patient referrals received by phone, email, electronically, or via fax.. This position involves friendly and courteous, direct patient contact via telephone, as well as friendly contact with all clinic staff, accurate data entry of all patient demographic information, and accurate follow-up with Insurance Verification department.

Essential Functions:

1. Exceed customer expectations by providing high quality, high touch customer service to our patients and customers.

2. Handle a high volume of incoming calls, while providing exceptional customer service and complete

documentation.

3. Make outbound calls efficiently, with a high touch and exceptional customer service to prospective patients and customers.

4. Obtain patient demographic and insurance information over the phone in a courteous, accurate, and complete manner.

5. Enter all demographic information accurately, as obtained by the patient or via referral, into the patient billing system and other required applications.

6. Schedule patients according to the market scheduling parameters and provide the requisite communication to the clinic in the designated fashion.

7. Effectively communicate any scheduling issues with the appropriate clinic, ensuring that the company’s scheduling guidelines are followed.

8. Communicate the status of referrals with the referring physician if required in the market.

9. Scan and accept documents to EMR as required in the market.

10. Accurately enter and submit insurance verification request through appropriate application.

11. Accurately enter referral information, gathered from patient or referral, into the appropriate applications.

12. Document the required elements and outcome of each call to support call tracking, monitoring and reporting.

13. Accurately submit any necessary “Add Forms” for new doctors and insurance companies not currently listed in computer application.

14. Communicate any patient issues resulting in dissatisfied customers to management as soon as possible.

15. Work all related queues to ensure timely response to referrals, requests, and resolution of errors as appropriate for the position.

16. Maintain friendly, cordial relations with all clients and employees.

Education:


High school diploma or equivalent


Experience:


Previous experience in an office environment, preferably in a health related field preferred


Skills and Abilities:


• Bi-lingual skills will be preferred where client basis requires additional language needs;

• Ability to type 40 words per minute;

• Microsoft Office

• The ability to organize and manage multiple priorities;

• Strong customer orientation;

• Excellent interpersonal and communication skills;

• Excellent presentation skills;

• Strong team player; and

• Commitment to company values.

Working Conditions:

Travel Required: None

Hours Required: Up to 40 hours per week. Overtime to be approved by management
